Working at WSP this role gives you the opportunity to provide administrative support to our busy and highly sought-after Mobility team. The Mobility team provide guidance on mobility issues to the business including immigration, tax, and international assignment benefits.
You will deliver administrative support to open cases and assist in the smooth running of the team.
Key accountabilities (but not limited to):
- Provides Administrative support in International and Domestic Mobility related matters.
- Process mobility initiations (new assignments, extensions, demobilisations)
- Preparation of international and domestic assignment agreements
- Assisting with the preparation of assignment cost estimates
- Maintaining reports and visa tracking systems incorporating continued improvement.
- Relationship management and working with external vendors to assist assignees in coordinating relocation.
- Managing a central mailbox and responding timely and accurately to enquiries.
- Maintaining constant communication with assignees to ensure the assignment is progressing to plan and obtain feedback.
- Participate in Global Mobility networking events both internal and external
- Assisting with audit and review relocation offers to external hire Candidates.
- Processing and coordinating vendor invoice payments, working alongside the internal finance team and business stakeholders.
- Assisting in policy reviews and benchmarking of relocation benefits.
- Research and develop an understanding of global and domestic mobilisation market trends
- Maintaining assignee tracker
- Assist in updating stationery emails, templates and process documentation to ensure operational efficiency
- Participate in education and facilitation of Mobility Training workshops for relevant stakeholders
Key role experiences, skills and qualifications:
- Typically, 1 to 2 years of relevant experience in mobility and/or administrative functions.
- Demonstration of understanding of global mobility/HR policies and processes.
- Proven strong customer focus with the ability to develop and maintain strong client relationships through continual communication and management of expectations.
- Excellent English, written and verbal communication skills.
- Good level of numeracy and data skills.
- Results-focused with good problem-solving skills.
- Outstanding stakeholder management skills with the proven ability to influence and effectively engage with a range of critical and diverse stakeholders.
- Exceptional time management and organisational skills with an ‘eye for detail’.
- Ability to work to a high standard individually or as part of a team.
